The Role of User Authentication e-Sign Desktop (formerly ApproveIt Desktop) enables commonly used business files formats, such as IBM Forms, Adobe PDF,  Microsoft  Infopath, Microsoft Word and Microsoft Excel, to be signed electronically over a desktop. Security

Once a document or form is signed electronically using e-Sign Desktop, the integrity of the data is secured and an audit trail is permanently embedded within the document. The solution can be combined with a variety of user authentication solutions, including PKI, digital certificates and smart cards.  If none of these technologies are in place, organizations can leverage e-Sign Desktop’s built-in support for self-signed certificates so that the solution can be deployed right out of the box.

Evidence

e-Sign Desktop meets all legal requirements for signing. The solution captures a person’s intent to sign a document and permanently binds the consent in the form of an electronic signature  into the document. The information is then bound to the final documents to create an auditable, approval process and provide electronic evidence. Users can then save an electronic copy, or print out a hard copy for their records.

Usability

As a plug-in for commonly-used document and form applications, e-Sign Desktop requires a minimal learning curve. Signing icons appear within the application toolbar enabling users to intuitively ‘click’ to add their electronic signature. An image of each person’s handwritten signature is also secured within the document. This replicates the appearance of hand-signed documents, both on-screen and when printed. Advanced automation features also enable complex, signing processes involving multiple users and documents to be supported in an electronic application.

Capturing Signing Intent

To prove a person’s intent to sign the document and be bound to its terms and conditions, e-Sign Desktop records what action was taken by the person. In other words, HOW the person applied his / her signature to the document. This can be done using a variety of methods, including entering a user name and password, swiping a smart card, applying a biometric print, or signing on an e-signature pad.

Authenticating Signers.

To prove WHO signed, e-Sign Desktop references the person’s ID information in the audit trail of the electronically signed document. The information can contain any one or more of the following items: a self-signed digital certificate.3rd party, PKI-issued digital certificate, biometric information, smart card, etc.

Securing the Data.

To prove WHAT was signed, e-Sign Desktop records and secures the exact contents of a signed document using digital signature technology. Once a document or form is signed electronically using e-Sign Desktop, the integrity of the data is secured and an audit trail is permanently embedded within the document. The resulting e-signature is visibly invalidated if any unauthorized changes are made.

Producing the Electronic Evidence

After all the information is captured and time-stamped, e-Sign Desktop stores it in the document to produce electronic evidence and secures it using digital signature technology so that no changes can be made without visible detection. The electronic evidence is permanently embedded in the audit trail of the document so that it travels with it at all times. The evidence can then be accurately reproduced and verified. If a change in the document’s contents is detected, the e-signature is automatically and visibly invalidated.
