Electronic Evidence

Capturing Signing Intent.

To prove a person’s intent to sign the document and be bound to its terms and conditions, ApproveIt records what action was taken by the person. In other words, HOW the person applied his / her signature to the document. This can be done using a variety of methods, including entering a user name and password, swiping a smart card, applying a biometric print, or signing on an e-signature pad.

Authenticating Signers.

To prove WHO signed, ApproveIt references the person’s ID information in the audit trail of the electronically signed document. The information can contain any one or more of the following items: a self-signed digital certificate.3rd party, PKI-issued digital certificate, biometric information, smart card, etc.

Securing the Data.

To prove WHAT was signed, ApproveIt records and secures the exact contents of a signed document using digital signature technology. Once a document or form is signed electronically using ApproveIt, the integrity of the data is secured and an audit trail is permanently embedded within the document. The resulting e-signature is visibly invalidated if any unauthorized changes are made.

Enforcing Business Rules.

A business approval process is not always as straightforward as it may seem. The process becomes increasingly more complex as multiple people sign and take responsibility for different parts of a document or form, and then make authorized changes to signed content that must be accounted for. An approval process in the electronic world must do more than just provide electronic signing and data authentication capabilities. It must also manage and automate signatures as part of an entire authenticated, business approval process.

ApproveIt’s approval automation features appropriate the nuances of real-world signing processes as closely as possible, while maintaining the authenticity of the document as it moves through the process. The solution recognizes content and intelligently authenticates what each person has signed and is responsible for. This allows multiple signatures to be added to a document, additions and modifications to be made, and the same kind of signing flexibility one would find with paper.

Producing the Electronic Evidence.

After all the information is captured and time-stamped, ApproveIt stores it in the document to produce electronic evidence and secures it using digital signature technology so that no changes can be made without visible detection. The electronic evidence is permanently embedded in the audit trail of the document so that it travels with it at all times. The evidence can then be accurately reproduced and verified. If a change in the document’s contents is detected, the e-signature is automatically and visibly invalidated.

Moreover, because ApproveIt produces a secure, stand-alone document, it can be printed, e-mailed or brought into any content management, storage system and enterprise system without jeopardising the electronic evidence.

As a plug-in for the most popular business software, the software enables electronic signing capabilities to be quickly and easily added to a wide variety of documents and forms.

Signing can take place at an individual’s desktop, and on a laptop computer or designated signing station for customer-facing applications. An e-signature is applied to documents using a secure, electronic file containing the signer’s handwritten signature - or using an electronic signing pad that captures a person’s ‘live’ signature.

And because it supports applications users are already familiar with, ApproveIt requires minimal learning curve. Signing icons appear within the application toolbar enabling users to intuitively ‘click’ to add their e-signature. An image of each person’s handwritten signature is also secured within the document. This replicates the appearance of hand-signed documents, both on-screen and when printed.
